Administrative Assistant- Program Management Focus

About the Role: We are seeking a proactive and organized Administrative Assistant with a focus on program management to join our team. This role offers a unique opportunity to work closely with and learn from an experienced business professional. The ideal candidate is eager to grow their skills and knowledge while providing comprehensive support to ensure smooth program operations, efficient administrative processes, and effective coordination across multiple projects and teams.

Key Responsibilities:

  1. Work in tandem with a senior business professional, assisting in day-to-day operations and learning advanced business practices
  2. Assist in coordinating program activities, timelines, and resources across multiple projects
  3. Maintain and update program schedules, tracking milestones and deliverables
  4. Prepare and distribute program-related documents, reports, and presentations
  5. Organize and facilitate program meetings, including agenda preparation and minute-taking
  6. Manage program-related communications, ensuring stakeholders are informed of updates and changes
  7. Support budget tracking and expense management for program activities
  8. Coordinate with various departments and external partners to ensure program alignment
  9. Assist in developing and maintaining program documentation and knowledge bases
  10. Support data collection, analysis, and reporting for program performance metrics
  11. Handle administrative tasks such as travel arrangements and calendar management for program team members

 

Qualifications: • High school diploma required; further education or relevant certifications are a plus • 1-3 years of work experience in an office environment, with exposure to administrative tasks and project coordination • Demonstrated ability to learn quickly and adapt to new responsibilities • Strong work ethic and eagerness to grow professionally • Proficiency in Microsoft Office Suite, particularly Excel and PowerPoint • Excellent organizational skills and attention to detail • Strong written and verbal communication abilities • Ability to work both independently and collaboratively in a team environment • Positive attitude and willingness to take on new challenges • Excellent references from previous employers or educators that can speak to your work ethic, reliability, and ability to learn

Desired Qualities: • Previous experience or interest in program management or business operations • Familiarity with project management tools (e.g., Microsoft Project, Asana, Trello) • Experience in coordinating with multiple stakeholders or cross-functional teams • Basic understanding of budget tracking and financial reporting • Ability to handle confidential information with discretion • Flexibility to adapt to changing priorities and deadlines

Location: Lawrenceburg, IN

Type: Full-Time, Exempt

Compensation: $35,000 annually, with semi-monthly paychecks  

Benefits:  Health insurance (available after 30 days), Simple IRA with up to 3% matching (after 30 days), 20 paid vacation days (after six months), 5 paid sick days, and 5 paid personal days

Work Schedule: Tuesday – Saturday; flexible, with some evenings and weekends required.
